  • Submit information through our online forms, including Meta (Facebook/Instagram) lead forms and landing pages;
  • Communicate with us by phone, SMS/text, email, direct message, website chat, or through our AI messaging assistants; and
  • Use our services in person or online (collectively, the "Services").

We handle personal information in accordance with British Columbia's Personal Information Protection Act (PIPA) and applicable Canadian laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's Anti-Spam Legislation (CASL), and the CRTC Unsolicited Telecommunications Rules. Name, phone number, email address, mailing address, city/region, age or general demographic information, and any other details you choose to provide when you fill out a form, book a consult, or contact us.

b) Fitness and Health-Related Information

Goals, activity level, injury and exercise history, and general health or lifestyle information you choose to share so we can tailor your program. We do not provide medical advice; you should always consult your physician before starting any fitness or exercise program.

c) Payment and Transaction Information

Limited billing information related to purchases of our services or products. We do not store full credit card numbers on our own systems; payments are processed through third-party payment processors.

d) Technical and Usage Information

When you visit our Website, we may automatically collect:

  • IP address
  • Browser type and version
  • Device type and operating system
  • Pages viewed and time spent
  • Referring website or source
  • General geographic location (city/region level)

We use cookies, pixels, and similar technologies to collect this information for analytics and advertising.

e) Communications, Audio & Voice Data

Content of emails, SMS/text messages, website chat, direct messages, and phone calls. Calls may be recorded and/or transcribed for training, quality assurance, and compliance. If we introduce an AI voice agent in the future, it will identify itself at the beginning of the call.

2. How We Use Personal Information

We use personal information for purposes a reasonable person would consider appropriate, including to:

  • Provide, manage, and improve our coaching, training, rehabilitation, and related services;
  • Respond to inquiries, schedule and confirm consultations, and manage your account;
  • Build and adjust your training, rehab, or wellness program;
  • Communicate with you about appointments, programs, offers, promotions, and updates (subject to your consent and applicable laws);
  • Run analytics, improve our Website, ads, and client experience;
  • Maintain the security and integrity of our systems; and
  • Comply with legal and regulatory obligations.

3. Marketing Communications, SMS & Email (CASL)

When you submit your information through our forms and check a consent box (or otherwise provide consent), you give Kenaz Training permission to contact you by phone, voicemail, SMS/text, email, and direct message, including the use of automated systems, for:

  • Responding to your inquiry;
  • Booking and confirming consultations and appointments;
  • Sharing relevant information about our services, programs, and offers.

You can withdraw your consent at any time by:

  • Clicking "unsubscribe" in an email;
  • Replying "STOP" to an SMS/text;
  • Telling a caller or messaging us that you wish to opt out.

4. Phone Calls, Automated Dialing & Call Recording

We may use automated dialing systems to contact you regarding assessments, program options, reminders, or follow-ups. If we introduce an AI voice agent in the future, it will identify itself at the start of each call and you may hang up at any time if you do not wish to interact with it.

  • Identification: At the start of each automated call, we will identify our business and the purpose of the call.
  • Calling Hours: Automated marketing calls will only be made during permitted CRTC hours (generally 9:00 a.m. to 9:30 p.m. weekdays and 10:00 a.m. to 6:00 p.m. weekends, local time).
  • Internal Do-Not-Call List: You can tell us at any time, "Stop calling me" or "Remove me from your list." We will stop marketing calls to your number within a reasonable period (up to 14 days) and keep your number on our internal do-not-call list for at least three years and 14 days.

By interacting with our phone system, you consent to the recording of calls for quality assurance, training, and monitoring. You may withdraw your consent at any time by ending the call or contacting us at info@kenaztraining.ca, though this may limit our ability to provide certain services.

5. Cookies, Tracking & Analytics

We use cookies, pixels, and similar technologies to:

  • Understand how visitors use our Website;
  • Measure and improve performance;
  • Deliver and measure the effectiveness of our advertising.

This includes tools such as Google Analytics and Meta (Facebook/Instagram) pixels.   • Jane App: Appointment booking and client management.

  • Meta (Facebook/Instagram): Advertising and lead generation platforms.
  • Payment processors: Secure payment handling for services purchased.
  • AI processing and messaging tools: Used to power our automated messaging assistants.

These service providers are contractually required to protect your information and use it only to provide services to us. Some providers may store or process your data outside of British Columbia or Canada (for example, in the United States), where it may be subject to local laws and lawful access requests.

We do not sell your personal information.

7. Social Media Interactions & Comment-Triggered Messages

When you interact with our content on platforms such as Meta (Facebook and Instagram) by liking, following, or commenting on our posts or ads, we may receive certain information from those platforms, including your public profile name, username, profile link, the content of your comment or message, and the date and time of your interaction.

If you comment using a keyword or request more information on one of our posts or ads, we may use automation tools that operate through official platform APIs to send you a direct message in response (for example, to deliver a link, resource, or booking page you requested). We do not use this automation to send unrelated or ongoing marketing messages unless you later provide consent.

Please do not share sensitive health, medical, or payment information in public comments or direct messages. If we need such information, we will direct you to a secure form or channel.

You can stop receiving direct messages from us on these platforms at any time by replying to our message or by using platform tools such as unfollowing or blocking our account.

8. Automated Messaging & AI Assistants (DM, Chat, SMS)

We may use AI-based assistants and automation tools to help generate or deliver some of our written responses in website chat, direct messages on social media, email, and SMS/text. These tools are configured and supervised by us and are used to acknowledge your inquiry, provide basic information, send links to resources or booking pages, and follow up on specific requests.

Our automation tools are configured to send only appropriate messages based on your interaction or request. Any additional marketing messages are sent only where permitted by law and after you provide consent. You can opt out at any time using the methods described in Section 3 or by telling us you no longer wish to receive messages.

9. Your Rights (PIPA / PIPEDA)

Under BC's PIPA and applicable Canadian privacy laws, you have the right to:

  • Request access to the personal information we hold about you;
  • Request corrections if your information is inaccurate or incomplete;
  • Withdraw consent to certain uses of your information, subject to legal and contractual restrictions;
  • Ask questions or raise concerns about our privacy practices.

If we cannot fully comply with a request (for example, because we must retain certain records for legal or business reasons), we will explain why. 10. Security & Retention

We use reasonable physical, technical, and administrative safeguards to protect personal information from unauthorized access, use, or disclosure. Our website uses HTTPS encryption for all data transmission. However, no system can be guaranteed 100% secure.

We retain personal information only as long as necessary to fulfill the purposes outlined in this Policy or as required by law. Contact form submissions are retained for up to 24 months unless you request earlier deletion. When information is no longer needed, we take reasonable steps to securely destroy, delete, or anonymize it.

Our Website and Services are not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. 13. Data Access & Deletion Requests for Social / Messaging Data

In addition to the rights described above, you may request access to, correction of, or deletion of personal information that we control and that was collected through Meta platforms (Facebook and Instagram) or other messaging channels in connection with your interactions with us.

We cannot delete information that remains on third-party platforms we do not control (such as content stored by Meta); you must manage or delete that information directly in your own account.

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last Updated" date. Your continued use of our Services after any changes are posted means you accept the revised Policy.
